Users & access (facility)

Invite people, set each member's role, unit and locations, and remove someone's access.

Admin, then Users & access, lists everyone with access to your organization.

  • The tiles count Members with access today, Invited people who have not accepted yet, members who Can grant access, and Revoked ones.
  • Filter by Role and Account. The note says how many members match.
  • Each row shows the name, email, phone, roles, unit and account state: Active, Invited, Suspended or Removed.

Inviting someone

  1. Select Invite someone.
  2. Enter their Email and choose one Role. The role's summary shows under it; a role that can grant and revoke access for other people says so.
  3. Select Send invitation.

Locations are not part of the invitation: set them on the member once they have accepted. See Roles and permissions for what each role can do.

Editing a member

Select Edit on a row. The editor shows their email, phone and account state, and lets you change:

  • Role. A person holds roles on one side only, facility or provider.
  • Unit / department. Rides this person books from now on count toward this unit in Reports. Pick one of your units, or + New unit to add one; a name already on the list is picked instead, so a second spelling never splits Reports.
  • Locations: where they can book. Every facility, including ones added later, Specific facilities (tick them), or No facilities. See Locations and scoped staff. You can grant only locations you hold yourself.

Select Save changes. A change applies on the person's next click.

Removing someone

In the editor, select Remove from this facility, then Revoke access.

  • They lose access on their next request, on every device, not when their session would have ended.
  • They are removed from your whole organization.
  • Their history is kept: the rides they booked and the audit log still name them.

To give them access again, invite them again.

The last administrator

The last member who can manage users can't be removed or given a role that can't. Grant another member that role first, or nobody will be able to grant access to your organization.
