Admin

Manage your provider organization's users, details, report emails, sign-in settings and audit log.

Admin is the provider admin's tab for running the organization. It opens on Provider administration and has five tabs: Users & access, Organization, Report emails, Authentication and Audit log. Dispatchers do not see Admin. For the full roles and permissions list, see Admin & identity.

Users and access

Users & access lists who signs in for your organization: provider admins, who also hold Crew & admin, and dispatchers, who bid and run rides. Crew members live on the roster in Crew & admin, not here.

  1. Choose + Invite user.
  2. Enter a Work email, pick the role (Dispatcher or Provider admin) and choose Send invite. An invitation carries no name. The person sets it at first sign-in.
  3. Each row shows a status: Active, Invited, Expired or Suspended. A note counts them, such as "3 active · 1 invited · 1 expired · 0 suspended".
  4. Suspend ends a person's sessions now. Reactivate brings them back.
  5. Resend invite on an Invited or Expired row sends it again.
  6. Change role swaps Dispatcher and Provider admin after you confirm. A dispatcher keeps bidding and running rides and loses Crew & admin, Admin and Reports.

The last active provider admin cannot be suspended or made a dispatcher. Make another member an admin first. Invitations sent outside HealthyRides are not listed.

Organization

Organization holds your name, primary contact and dispatch contact.

  1. Edit Organization name. It is what facilities see on your bids, and it is used at sign-in.
  2. Enter the Contact name, Contact email and Contact phone. Name and email are required.
  3. Enter the Dispatch email and Dispatch phone. Facilities send ride questions and network notices to the dispatch email, so it is required. The phone is optional. Enter it with its area code, such as (937) 555-0100. It is saved with the country code.
  4. Choose Save profile.

If no dispatch email is saved, the tab flags it. Another organization already using your name is refused. Choose a name that tells you apart, such as one with your town.

Report emails

Report emails sends a weekly or monthly summary of your Reports by email. It carries totals only, with no patient details, and links back to Reports behind sign-in.

  1. Pick a Cadence: Off, Weekly (Mondays, covering the week before) or Monthly (the 1st, covering the month before).
  2. Under Recipients, tick who gets it. Only members who can open your Reports are offered, and the tab names who is left out.
  3. Read the preview lines to see what the email contains.
  4. Choose Save schedule. It is sent at 07:00 in each recipient's own time zone.

Pick at least one recipient, or set the cadence to Off.

Authentication

Authentication holds two cards.

  • Session security signs members out after a period with no activity, so a screen left open on a shared workstation stops showing patient information. Choose Sign out when idle, enter the Minutes without activity, and save.
  • Single sign-on and MFA shows, read live from WorkOS, whether single sign-on and multi-factor authentication are on for your organization. Choose Manage in WorkOS to change them. Records of sign-in and access changes are always kept.

Audit log

The Audit log is a record of changes to access, rides and settings in your organization only. It is newest first and append-only: an entry cannot be changed or deleted.

  1. Pick a Date range such as Today, Last 30 days or All time.
  2. Narrow by Actor or Event with the filter chips. The note says how many entries match.
  3. Choose Show older entries for more.
  4. Choose Export CSV to download the entries in the range.

Common questions

I invited someone and they cannot sign in.

Check the status. An Expired invitation needs Resend invite.

Why can a dispatcher not see this tab?

Admin is for provider admins only. Change the role on Users & access if someone needs it.

Can I see another organization's audit log?

No. You see only your own.
