HealthyRides

Get started

What HealthyRides does, who uses it, and how to sign in for the first time.

HealthyRides is where healthcare facilities post non-emergency patient transports and transport providers bid to carry them. This page explains the idea, helps you find your guide, and walks you through your first sign-in.

What HealthyRides is

HealthyRides is a marketplace for private (non-911) patient transport. A facility posts a ride once. Credentialed providers see it and bid. The facility picks the bid it wants. The crew then carries out the ride and records each step, so the arrival time is measured instead of reported.

A ride moves like this:

  1. A facility books a trip. A Scheduler picks the patient, the route, the transport needs and the payer, then posts it. See Schedule a ride.
  2. Providers see it and bid. Each bid states when the crew can reach the nurses desk. A provider can also decline. See Available rides and Bid on a ride.
  3. The facility picks a bid. The ride becomes Scheduled and the provider assigns a crew. See Ride detail.
  4. The crew runs the ride. They record each step on their phone, from en route to complete. See the Crew guide.
  5. Everyone can see how it went. Reports show on-time arrival, waits and how often rides were filled. See Reports.

For the full journey, read Booking to completion.

HealthyRides does not take or settle payments. A bid can carry a rate quote, but it is information only.

Choose your role

What you see depends on the role your administrator gave you. One person can hold more than one role, and then sees the tabs of each.

  • Scheduler books rides for patients, reviews bids, picks one, and messages the provider. Tabs: Dashboard, Schedule Ride and Patients. Start with the Facility guide.
  • Facility Admin manages the facility organization: users, locations, pickup points, rules and reports. Tabs: Dashboard, Schedule Ride, Reports, Providers, Patients and Admin. Start with the Facility guide and Admin. Picking a bid belongs to the Scheduler role, so an admin who also books holds both roles.
  • Read-only (facility side) can look at rides and reports but cannot change anything. Tabs: Dashboard and Reports.
  • Dispatcher works for a transport provider: bids on rides, declines, releases a ride and assigns crew. Tabs: Available and My rides. Start with the Provider guide.
  • Provider Admin is a Dispatcher who also runs the provider organization: crew, fleet, credentials, operating hours, users and reports. Tabs: Available, My rides, Crew & admin, My performance and Admin. See Crew & admin and Provider admin.
  • Crew carries out rides and records each step. Crew land on the crew console. See the Crew guide.

Not sure which you are? Look at the tabs after you sign in and match them to the list above. If a tab is missing, see FAQ and troubleshooting.

HealthyRides staff also have their own screens. They are not covered here.

Sign in for the first time

You do not create your own account. Your organization's administrator invites you by email, and the invitation names your role.

  1. Open the invitation email and follow its link, or go to the HealthyRides site and choose Sign In.
  2. Sign in with the email address the invitation was sent to.
  3. HealthyRides takes you to the first screen for your role: Dashboard for facility staff, Available for providers, the crew console for crew.

A sign-in has to be finished within a few minutes of starting it. If you get "Your sign-in took too long", choose Sign in again. Nothing is wrong with your account.

If you see "You need an invitation", you signed in but your account does not belong to an organization yet. Ask your administrator for an invitation. If you signed in with the wrong email address, choose Sign in with a different account.

The agreement an organization signs once

A new organization is not active until its administrator signs two documents: the business associate agreement and the terms of service.

  • If you are the organization's first administrator, you see the Agreements page after you sign in. Read each document, tick the box to agree on behalf of your organization, type your Full name and Title, and submit. The organization is active as soon as you have signed.
  • If you are anyone else, you see Waiting for your administrator. Nothing needs doing from you. Once the administrator has signed, choose Check again, or sign in again, and you go straight in.

Signing out and idle time

Facility organizations sign people out after 15 minutes without activity. A facility administrator can change that, or turn it off, on the Authentication tab of Admin. Provider organizations have no idle sign-out until their administrator sets one. After an idle sign-out you sign in again and carry on.

The app shell

Every screen except the sign-in and agreement pages sits in three stacked bands.

  • Header. The HealthyRides logo, which takes you home, and your user chip. Open the chip for My profile, Notification preferences, any shortcuts for your role (for example Facility admin settings or Provider admin settings), and Sign out.
  • Tab strip. One tab for each place your role can go. The current tab is underlined.
  • Body. The screen itself.

Some screens open as an extra tab you can close: a ride's detail, a bid, a patient record, My profile and Notification preferences. Close one to go back to where you were.

Crew do not get this full set of tabs. They land on the crew console, which has its own guide: Crew guide.

On a phone the same bands stack to fit. Tables turn into cards, and every button is large enough to tap.

My profile and Notification preferences

Both open from the user chip, for every role.

My profile has:

  • First name, Last name and Mobile phone. The phone is optional and must be a ten-digit US number. Signing in never overwrites what you save here.
  • Your sign-in Email, shown for reference. You cannot change it here.
  • Text messages, which says whether texts are going to your phone. If you replied STOP to a HealthyRides text, the card says so. To turn texts back on, text START (or UNSTOP) to the HealthyRides number. The app cannot turn them back on for you.

Notification preferences has:

  • A grid of events, such as a crew waiting on your unit or a new message on a ride, against the channels each one can use. Tick or untick a box to choose.
  • Quiet hours, with a start time, an end time and a time zone.
  • What we never send, a list of what a notification can never contain, whatever it is about. It includes patient names, dates of birth, medical notes and addresses. Notifications point you to the ride, and the details are behind sign-in.

For role-specific details, see My profile and Notification preferences.
