Facility guide

Booking and tracking rides for your patients, and running your facility organization.

This guide is for the people at a hospital, clinic or other facility who book non-emergency medical rides and follow them to completion.

Who uses it

  • Schedulers book rides, pick the winning bid and follow rides on the dashboard. Care coordinators, discharge planners, social workers, health unit coordinators and ER assistants all hold this role.
  • Facility Admins do everything a Scheduler does. They also manage who has access, the facility's locations, rules and reports.
  • Observers can read rides and reports. They change nothing and cannot book.

Your role decides which tabs you see. For the full list of what each role can do, see Admin and identity.

Your tabs

The tab strip at the top of the screen shows the tabs your role can use.

  • Dashboard: every ride at your organization and which ones need attention.
  • Schedule Ride: the five-step booking wizard. See Schedule Ride.
  • Providers: the transport providers in your network and the requests you have made.
  • Reports: on-time arrival, crew wait, fulfillment and more.
  • Patients: search your patient records.
  • Admin: users, locations, rules and more. See Admin.

Two more screens open from the user menu at the top right: My profile and Notification preferences. Opening a ride from the dashboard shows the ride detail.

A ride from start to finish

  1. A Scheduler books a ride and posts it.
  2. Providers in range see it and bid.
  3. The Scheduler picks one bid. The ride becomes Scheduled.
  4. The crew picks up the patient. The ride is In Progress, then Completed.

The booking to completion workflow follows this across facility, provider and crew.
