Invites and memberships

Inviting a person with a role, suspending and removing someone, and when their access ends.

A membership is a person's access to your organization: who they are, the role they hold, and its state. People are added by invitation only.

Inviting a person

An administrator invites someone by email from Admin, Users & access, choosing the role they receive. The invitation is one role; a facility admin can change it afterwards in the member editor.

• A facility admin can grant any customer role. See Roles and permissions.
• A provider admin invites provider admins and dispatchers there, and invites crew from the crew roster.
• HealthyRides staff roles can never be granted by an organization.
• A person holds roles on one side only, facility or provider.

When the person accepts and signs in, they become Active. Until then they show as Invited, and on the provider side an invitation that lapses shows Expired, with Resend invite.

Ending someone's access

• A facility admin removes a person: Remove from this facility, then Revoke access. They are removed from the whole organization. To restore access, invite them again.
• A provider admin suspends a person: Suspend. Reactivate restores them.

Either way, the person's history is kept: the rides they acted on and the audit log still name them.

When access ends

Straight away. HealthyRides checks the membership on every request, so a removed or suspended person is refused on their next click, on every device. Their session does not run on until it would have expired.

The same check applies a role change on the person's next click, so a demotion takes effect at once too.

HealthyRides also deactivates the person's membership at WorkOS, the sign-in service, and an hourly check repeats that for anyone it missed. Signing in again does not restore access.

Keeping an administrator

The last member who can manage users can't be removed, suspended or moved to a role that can't. Grant another member that role first, or nobody could grant access to your organization again.
