Schedule Ride
Book a ride in five steps, post it to providers, and pick the winning bid.
Schedule Ride is the booking wizard. You enter the patient, the trip, what the patient needs and who pays, then post. Providers that match the ride bid on it, and you pick the bid you want.
The wizard shows one step at a time, with a step list at the top. Each step checks its own required fields before Continue lets you move on. If something is missing, the box under the buttons says what.
Step 1: Patient
Choose who is riding and attach at least one diagnosis.
- Type in Search patients. You can search by name, by date of birth as 1974-03-12 or 1974, or by MRN. Select Search.
- Select the right patient. Open record shows their patient record.
- If nobody matches, select New patient. First name and last name are required. Sex, date of birth, MRN, phone, language and mobility needs are optional. Select Create patient.
- Search for a diagnosis by ICD-10-CM code or description. With the search empty, your organization's favourite codes are listed first.
- Select a code to attach it. The first code on the list is the primary one. You can remove a code and add it back from the search.
A ride has one diagnosis list. Providers do not see diagnoses while deciding whether to bid.
Step 2: Trip
Say where and when.
- Choose the Requesting facility.
- Choose the Trip type: One way or Round trip. A round trip needs a Return pickup time.
- Fill in Pickup Location and Drop-off Location. The quick picks can fill in a saved address such as the patient's home.
- Under Pickup point, pick one of the facility's saved entrances or zones, or type another. The floor and room presets fill in the room.
- Add the Pickup room and Drop-off room, such as "4 West 312". They are optional, but this is where the on-time clock stops, so fill them in when you can.
- Set Requested pickup. Leave it empty to post the ride as soon as possible.
Step 3: Requirements
Say what the patient needs.
- Pick the Tier: MICU, ALS, BLS, Stretcher van or Wheelchair van. Each card says what it is for and shows how many providers are in range, meaning providers that offer the tier and whose service radius reaches the pickup.
- For ALS and BLS, choose Emergent or Non-emergent. This is the patient's clinical acuity. It is not how soon you want the ride.
- Turn on Bariatric transport if it applies. Providers and crew see it. It does not limit who can bid.
- Fill in what applies: Oxygen, Stairs, Isolation precautions and Attendants / escorts.
- Choose Weight-bearing: full, partial or none.
- Tick the Equipment your facility lists.
- Add free text under Mobility, Wheelchair and Comments to crew.
Step 4: Payer & auth
Say who pays, so providers know before they bid.
- Choose Insurance, Facility or Patient.
- For insurance, choose the Insurance class (Medicare, Medicaid or Private), then enter the Plan and Member ID. Add a Prior auth number if you hold one.
- For a facility-paid ride, enter a Cost center.
- To add a second payer, select Add secondary insurance and fill in its class, plan and member ID. Remove secondary takes it off the patient's record too.
Facility NPI is read-only here. A Facility Admin sets it in Admin. HealthyRides does not settle money. The payer is information for the provider's own billing.
Step 5: Review & post
Check everything and send it.
- Check the Patient, Trip, Requirements and Payer cards. Select a card's edit link to jump back to its step.
- Read the Broadcast preview. It is what providers see on their open board. The patient is not named until a provider wins the work.
- Optionally tick SMS consent obtained and attested if the patient agreed to receive text updates. The ride posts either way.
- Select Post transport.
Picking a bid
After you post, HealthyRides opens the Bids screen for the ride.
- Wait for bids to arrive. The count at the top shows how many are open.
- Compare the rows. Quality shows the provider's Standing and recent on-time rate. Blended rank combines quality and price, and a note on the screen explains how. Rate quote is what the provider asked for, and HealthyScore is its score.
- Select Pick on the bid you want. The ride is Scheduled, and the other bids are not selected.
You can pick any bid, whatever its rank. A bid that has expired cannot be accepted.
What the fields and statuses mean
- Tier: the level of vehicle and crew the ride needs.
- Emergent / Non-emergent: clinical acuity on ALS and BLS rides. Not the same as ASAP.
- ASAP: a ride with no requested pickup time, broadcast to every provider at once.
- Standing: a provider's quality band, Gold, Silver or Bronze.
- Pick deadline: when live bids lapse. If you have not picked one, the ride becomes Unassigned.
Common questions
I cannot continue to the next step.
Read the box under the buttons. It lists what the step still needs, such as a diagnosis or a return time.
Does the patient have to consent to texts?
No. Consent is optional, and the ride posts either way. Riders without consent get no texts.
Can I change a ride after posting?
You can cancel it from the ride detail. Editing a posted ride is not part of this screen.
