Locations and scoped staff

Assigning a person to some of your locations limits where they can book, not what they can read.

A facility organization often has more than one location: a hospital and its clinics, or several campuses. You can limit a staff member to some of them.

What a location assignment does

A location assignment controls where a person can book a transport. When they book, they can choose only a location they are assigned to, and a booking at any other location is refused.

It does not limit what they can read. Every member of your organization can see the organization's rides, crew updates and ride messages at every location, within what their role allows. Staff cover each other's desks and follow a patient between buildings, so hiding another location's rides would get in the way of the work.

Your organization's rides are never visible to another organization, whatever the assignment.

Choosing a person's locations

Open Admin, then Users & access, and edit the member. The Locations card offers three choices:

  • Every facility, including ones added later. The person can book at every location, and at any location you add in future.
  • Specific facilities. Tick the locations the person may book at.
  • No facilities. The person cannot book at any location.

When a person is assigned exactly one location, the booking form starts on it. With several, or with every location, they choose each time: the form never guesses between two plausible pickups.

A deactivated location is listed only if the person already holds it. You can untick it there. See Users & access for the rest of the member editor, and Locations for adding and deactivating locations.
