Booking to completion
How a ride moves from a Scheduler's booking through bids, a pick and a crew to a completed ride.
This is the main journey. A facility posts a trip, matching providers bid, the facility picks one bid, and the provider's crew carries out the ride.
Who is involved
- A Scheduler at the facility books the trip and picks a bid.
- A Dispatcher at a provider bids, then assigns crew after winning.
- Crew make the pickup and record punches.
It starts when the Scheduler posts a trip from Schedule Ride.
Steps
- Scheduler, Schedule Ride. Work through the five steps: patient, trip, transport requirements, payer, then review and post. See Schedule Ride.
- Dispatcher, Available rides. The ride appears on the board of every provider whose tiers and service radius match. Providers with a higher standing see a new scheduled ride first. A rush (ASAP) ride is offered to every standing at once. See Available rides.
- Dispatcher, Available rides. The Dispatcher places a bid: an ETA at the nurses desk, and optionally a rate quote and a note. A provider can also decline a ride. See Placing a bid.
- Scheduler, the ride's bids. The Scheduler opens the ride's bids from Review bids on its dashboard row and sees them ranked by a blended score. The Scheduler can pick any bid, whatever its rank, with Pick. The ride becomes Scheduled. See Dashboard and Ride detail.
- Dispatcher, My rides. The winning provider assigns a crew member to the ride. The assignment can be changed until the crew arrives. See My rides.
- Crew, Crew console. The crew member sees the assigned ride and records punches as it unfolds: En route, At door, At nurses desk, Departed, Arrived, Patient handed off and Complete. See Punches.
- Both sides, ride detail. The ride moves to In Progress as the crew punch, and to Completed with the last one. The event journal keeps every action, punch and message.
What each side sees
- The facility sees bids arrive on the ride, then the crew's progress and punch times on ride detail.
- The provider sees the ride on My rides with its status, crew and live wait.
- Each ride has a message thread that both sides can use.
- A punch is marked verified when it falls inside the pickup's geofence, and unverified when it does not. The on-time grade compares the At nurses desk punch with the bid ETA.
Common questions
What if two Schedulers pick at the same time?
The first pick wins. The second sees a refreshed panel showing the ride is already Scheduled.
What if nobody bids?
At the pick deadline the ride becomes Unassigned and is offered to every standing. See Release and rebroadcast.
What if the patient is not ready?
The crew punch Waiting — patient not ready. See the wait clock.
