Onboard your fleet and crew
A Provider Admin's first days: agreements, credentials, vehicles, crew, hours and your service area.
HealthyRides creates your provider organization and invites your Provider Admin by email. Your organization starts in Review, which means no tier is active and you cannot take rides yet. This workflow is how you move from Review to a working operation.
Who is involved
- The Provider Admin, who does the set-up.
- HealthyRides staff, who verify your credentials and decide capability change requests.
- Dispatchers and Crew, who are invited along the way.
Steps
- Provider Admin, first sign-in. Sign the business associate agreement and the terms of service on behalf of your organization. Until you do, everyone else sees a waiting page. See Get started.
- Provider Admin, Crew & admin, credentials. Upload each credential with its expiry date: insurance, operating authority for each tier you run, NPI, business license, vehicle roster and W-9. Each stays under review until HealthyRides verifies it. See Crew & admin.
- Provider Admin, Crew & admin, credentials. A tier becomes active only when every credential it needs is verified and unexpired. To add a tier later, upload that tier's operating authority.
- Provider Admin, Crew & admin, Fleet. Add each vehicle with its type, year, make, model, plate and seats, and whether it is bariatric-capable. Retire a vehicle you no longer run. It cannot be retired while it is on an open ride.
- Provider Admin, Crew & admin, roster. Add crew members with a mobile number and licence number. Then choose Invite to sign in for each, or link a crew record to an existing member. See Crew guide.
- Provider Admin, Crew & admin, Operating hours. Set your time zone and weekly hours. They mark rides outside your hours on the board, and never hide a ride or stop a bid. If you set none, you are treated as always open.
- Provider Admin, Crew & admin, Accepted payers. Declare the payer classes you prefer. They rank the board and hide nothing, unless you choose to hide rides outside your payers.
- Provider Admin, Admin. Add your dispatch contact on the Organization tab, invite Dispatchers from Users & access, and set report emails. See Admin.
- Provider Admin, Crew & admin, base and radius. Your base address and service radius were set at onboarding. To change them, send a capability change request. One request waits at a time, and HealthyRides approves or rejects it with a reason.
What each side sees
- While in Review, your credentials show as under review. Facilities see your credential state, not your documents.
- You are reminded by email 30 days and 7 days before a verified credential expires, and on the day it expires. The badge reads Expiring within 60 days of expiry.
- Upload a renewal before expiry. It reads under review beside the copy in force, and the verified copy stays in force until the renewal is verified.
- An unlinked crew member cannot sign in to see assigned rides. Link or invite each one.
Common questions
Why can't I see any rides?
Check that at least one tier is active. A tier needs every credential it depends on verified and unexpired. Rides also appear only inside your service radius.
Can I change my base address myself?
No. Send a capability change request. It applies when HealthyRides approves it.
Can I add a tier by request?
No. Upload that tier's operating authority, and HealthyRides verifies it.
